Cross-border water-system quotations for Malaysian and Vietnamese buyers: define responsibility before ordering

Separate supply, freight, import, installation, acceptance and support. Specify trade terms with place and edition, and retain a responsibility and change record.

A single total price is rarely enough to compare an international equipment offer. Buyers in Malaysia and Vietnam need the equipment list, transport boundary, site conditions, acceptance procedure and support scope together. This is an enquiry and handover method, not a statement of either country's import duties or regulatory approval.

Break the quotation into checkable items

List complete models, quantities, key specifications, accessories and options. Separate packaging, domestic transport, international freight, insurance, import procedures, local delivery, unloading and installation. Then identify commissioning, training, testing, warranty and consumables. Treat omitted work and cost as open questions.

The buyer should provide the project address, use, feed analysis, electrical supply, water and drainage interfaces, space and schedule. If information is incomplete, identify provisional items and the conditions that require revised pricing. Unconfirmed site data should not become an unconditional delivery commitment.

Add a place and edition to trade terms

ICC's Incoterms rules allocate specified delivery obligations, costs and risks between seller and buyer. State the rule, named place and edition, and have the contract owner confirm its suitability. Transport-risk transfer, physical arrival and performance acceptance can occur at different stages.

A trade term does not automatically establish local product compliance, include site installation or define water-output performance and support response. The local project owner should verify import and connection requirements; the supplier should identify the documents it can actually provide. Keep unsupported items unconfirmed.

Both sides should review this table before order confirmation. “Technical support” does not automatically mean a local site visit. “Freight included” does not establish that all import-related costs are included.

Keep changes traceable

Record quotation versions, confirmation dates, changes, cost effects and authorised approvers. Recheck suitability and timing if the water, address or site conditions change. Bilingual participants need consistent units and interface names throughout the project documents, not only translated promotional headings.
